JOB DESCRIPTION

The Maintenance Coordinator plays a vital role in ensuring smooth operations within the Engineering or Maintenance Department. This position is responsible for overseeing administrative tasks, managing documentation, and supporting maintenance activities through efficient coordination of billing, purchase requisitions, and system monitoring. The role also acts as a helpdesk liaison to the Retail Management Department and ensures accurate logging and tracking through the CMMS platform.

KEY RESPONSIBILITIES

  • Prepare and process billings and Requests for Payment (RFP) in a timely manner.

  • Initiate and monitor Purchase Requisitions and Purchase Orders for maintenance-related needs.

  • Log and monitor work orders, preventive maintenance schedules, and service requests using the Computerized Maintenance Management System (CMMS).

  • Serve as the Document Controller for the division, ensuring proper filing and version control of all engineering and maintenance documents.

  • Provide helpdesk assistance to the Retail Management Department by coordinating and resolving facility-related concerns.

  • Support the maintenance team in organizing schedules, reports, and records.

  • Collaborate with internal departments and external vendors to ensure smooth procurement and maintenance workflows.

  • Performs other job-related tasks that may be assigned by his/her immediate superior from time to time.

JOB REQUIREMENTS

  • Bachelor's Degree (Engineering graduates preferred but not required).

  • Experience in administrative functions within an Engineering or Maintenance Department is a strong advantage.

  • Proficient in using CMMS or other maintenance management systems.

  • Strong organizational and time management skills.

  • Excellent communication skills and a proactive attitude.

  • Demonstrated ability to work well within a team environment.

  • Detail-oriented and capable of handling multiple tasks simultaneously.

  • Willingness to work onsite from Monday to Friday, 9:00 AM to 6:00 PM
