Job Summary
The Accounting and Finance Staff is responsible for handling bookkeeping and inventory management. The role involves maintaining financial records, processing transactions, reconciling accounts, and overseeing inventory records to ensure accuracy and compliance with company policies and accounting standards.
Roles and Responsibilities
- Bookkeeping:
- Review, verify, and process invoices accurately and in a timely manner.
- Match invoices with purchase orders, contracts, and delivery receipts.
- Ensure proper coding of invoices in accordance with company policies and accounting standards.
- Ensure all Request for payments (RFP) are authorized and supported by proper documentation.
- Maintain a schedule of recurring payments and ensure timely disbursement.
- Record and maintain accurate financial transactions in the accounting system and manual books.
- Account Reconciliation
- Reconcile accounts payable transactions to ensure all payments are accounted for and properly posted.
- Perform monthly reconciliations of vendor statements and resolve discrepancies.
- Reconcile sales and collections.
- Assist in the month-end closing process by providing accounts payable reports and supporting documentation.
- Vendor Relations
- Serve as the main point of contact for vendors regarding payment status, discrepancies, and other inquiries.
- Address and resolve vendor issues and discrepancies in a professional and timely manner.
- Build and maintain positive relationships with vendors and internal stakeholders.
- Compliance and Record Keeping
- Ensure compliance with company policies, accounting standards, and regulatory requirements.
- Maintain accurate and organized records of all transactions and documentation.
- Assist in audits by providing supporting documentation and explanations as needed.
- Inventory Management:
- Monitor and update inventory records.
- Reconcile inventory reports with physical stock and investigate discrepancies.
- Coordinate with the warehouse and purchasing teams to track inventory movement.
- Assist in inventory audits and cycle counts to maintain stock accuracy.
- Generate inventory reports and assist in cost control measures.
- Process Improvement
- Identify opportunities for process improvements and efficiencies in the accounting and finance function.
- Support the implementation of new systems, procedures, or tools to streamline the accounting process.
- Reporting Analysis
- Prepare and maintain sales, collections, and inventory reports and other relevant financial reports.
Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- At least 1-2 years of experience in bookkeeping and/or inventory management.
- Strong understanding of accounting principles and practices.
- Proficiency in accounting software and Microsoft Excel.
- Excellent attention to detail and accuracy in data entry and record keeping.
- Strong problem-solving skills and ability to work under pressure to meet deadlines.
- Effective communication and interpersonal skills to collaborate with vendors and internal teams.
- Strong organizational skills and ability to multitask.
- Ability to work both independently and as part of a team.
- Proactive, self-motivated, and willing to take initiative.
- Focus on building positive relationships.
