Job Overview
Our client is looking for an experienced monday.com Systems Specialist to review, design, build, and optimize a comprehensive monday.com system for an established business. The successful candidate must have hands-on experience building advanced monday.com solutions, including multi-workspace architecture, connected boards, workflow dependencies, automations, dashboards, templates, and reporting.
The business has already created separate workspaces and begun setting up boards for marketing and product development. The specialist will assess the existing foundation, identify structural improvements, and develop a scalable system across different business units and shared activities.

Flexible during client business hours, Auckland (20 work hours per week)
Responsibilities
Review existing monday.com workspaces, boards, processes, and workflows, then recommend a scalable architecture across business units and shared activities.
Map business processes and build connected monday.com workflows across product development, marketing, procurement, brochure launches, communications, ordering, delivery, inventory, and customer service.
Establish dependencies, cross-functional handoffs, approvals, and project stages, with automations for task completion, notifications, due dates, overdue items, and escalations.
Build dashboards, reporting views, and reusable templates to manage multiple product-development, brochure, campaign, and launch cycles simultaneously.
Convert the existing Word-based new-product briefing process into an efficient monday.com workflow and structure document handling and SharePoint file links.
Test and troubleshoot workflows using live projects, refine the system based on actual use, and document board structures, automations, dependencies, and operating procedures.
Develop training materials, train the internal team, and recommend monday.com best practices and ongoing system improvements.
Requirements
Demonstrated experience designing, implementing, and optimizing advanced monday.com systems.
Strong knowledge of monday.com workspaces, boards, connected boards, mirrored columns, dependencies, dashboards, forms, templates, and advanced automations.
Experience reviewing and improving existing monday.com environments and building scalable systems for multiple teams and concurrent projects.
Ability to understand complex business processes and translate them into practical workflows, dashboards, and management-level reporting.
Strong workflow testing, troubleshooting, documentation, and training skills.
Strong communication and stakeholder-management skills, with the ability to work directly with business leaders and recommend practical solutions.
Highly organized, detail-oriented, and able to work independently.
Nice to Have
Experience supporting product development, marketing, procurement, supply-chain, or manufacturing workflows.
Familiarity with SharePoint or similar document-management platforms.
Experience developing product-launch, campaign-management, or brochure-production systems.
Relevant monday.com certifications or verified implementation experience.
