Job Title: Event Specialist

Work set-up: Full-time, Onsite

Job Summary:

We are seeking a highly organized and proactive Offline Event Specialist to manage and execute physical events such as job fairs, partnership events, and campus recruitment programs. This role involves coordinating with vendors, event stakeholders, and internal teams to ensure seamless event execution.

Additionally, this role supports the Sales Team by handling the administrative and operational aspects of events, allowing sales professionals to focus on customer engagement and onboarding.

Key Responsibilities:

Event Planning & Management:

  • Organize and oversee offline and hybrid events, including job fairs, networking events, and recruitment programs.

  • Plan event logistics from venue selection and vendor coordination to on-site execution.

  • Ensure that all event elements align with company goals and branding.

Vendor & Stakeholder Coordination:

  • Establish and maintain relationships with vendors, venue coordinators, and event partners.

  • Negotiate contracts, manage event budgets, and ensure timely payments.

  • Serves as the primary point of contact for sponsors, partners, and event stakeholders.

Sales Team Support:

  • Handle event-related administrative and operational tasks to reduce the burden on the sales team.

  • Coordinate event materials, booth setups, and promotional items for sales representatives.

  • Ensure that sales team members are well-prepared with relevant event details and schedules.

Post-Event Reporting & Improvement:

  • Collect and analyze event performance data, including attendance, engagement, and lead generation.

  • Prepare post-event reports with insights and recommendations for future improvements.

  • Gather feedback from attendees and stakeholders to enhance future event experiences.

Qualifications:

  • Bachelor's degree in Marketing, Business, Communications, or a related field.

  • 2–5 years of experience in event planning, event management, or related fields.

  • Strong vendor management and negotiation skills.

  • Excellent organizational skills and the ability to handle multiple events simultaneously.

  • Strong interpersonal and communication skills to liaise with internal and external stakeholders.

  • Knowledge of event technologies, budgeting, and logistics.

  • Willingness to travel and work flexible hours, including weekends if required for events.
