Administrative Assistant

Job Description:

  • Email & Client Communication:
  • Monitor and prioritize incoming emails, ensuring timely responses or delegation to the appropriate team member.
  • Send client queries and follow up on outstanding information.
  • Client Proposals & Invoicing:
  • Prepare and send client proposals using Practice Ignition.
  • Track proposal acceptances and ensure invoices are issued and paid.
  • Workflow & Job Management:
  • Monitor workflow using FYI Document Management System.
  • Track job progress to ensure deadlines are met.
  • Follow up on client queries and outstanding information.
  • Manage CAS360, including sending out company annual renewals and proposals.
  • Ensure all corporate compliance documentation is up to date and sent to clients on time.
  • Marketing & Social Media:
  • Organize and update social media accounts, newsletters, blogs, and website content as needed.

Qualifications:

  • Bachelor's degree in Administration, or any related field.
  • Proficiency and ability to quickly learn the following software tools:
  • CAS360
  • FYI Document Management System, and Practice Ignition.
  • Excellent time management and ability to prioritize tasks effectively.
  • Strong problem-solving skills and ability to work independently.
  • Strong attention to detail in written communication.
  • Ability to manage multiple tasks and meet deadlines.
  • High-level written and spoken Modern English proficiency.
