The Executive Assistant role is unique as it combines high-level administrative support with strategic involvement in organizational operations. They serve as gatekeepers and advisors, requiring strong multitasking and adaptability in handling last-minute changes and confidential information.

Ongoing professional development, such as workshops on project management, is vital to navigate complexities and contribute significantly to an executive assistant's role.

KEY RESPONSIBILITIES:
  1. Calendar Management: Schedule and prioritize appointments, meetings, and events for HR, ensuring optimal time management.
  2. Communication: Serve as the primary point of contact for internal and external communications, responding to inquiries and managing correspondence.
  3. Meeting Coordination: Organize and prepare for meetings, including logistics, agenda creation, and documentation of minutes.
  4. Travel Arrangements: Plan and coordinate travel itineraries, including transportation, accommodation, and expense reports.
  5. Project Support: Assist in managing projects by tracking progress, deadlines, and deliverables, and providing administrative support as needed.
  6. Documentation: Prepare, edit, and format reports, presentations, and other documents to ensure clarity and professionalism.
  7. Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
  8. Enhance Executive Efficiency: Streamline daily operations to allow executives to focus on strategic decision-making.
  9. Foster Effective Communication: Ensure clear and timely communication between the executive and internal/external stakeholders.
  10. Maintain Organization and Order: Implement organizational systems that improve document management and scheduling.
  11. Support Project Management: Assist in the successful execution of projects by tracking timelines, deliverables, and resources.
OBJECTIVES:
  1. Calendar Optimization: Manage and optimize the executive's calendar to minimize scheduling conflicts and maximize productivity, aiming for a 90% adherence to planned schedules.
  2. Meeting Preparation: Prepare agendas and materials for meetings, ensuring all necessary information is available before every meeting.
  3. Travel Coordination: Arrange travel itineraries, including flights and accommodations, ensuring cost-effectiveness and efficiency.
  4. Documentation Accuracy: Maintain high accuracy in document preparation and communication.
  5. Feedback Mechanism: Establish a system for collecting feedback from the executive and stakeholders to continually improve support services, with quarterly reviews.
  6. Professional Development: Engage in ongoing training or professional development, completing at least one relevant course per year to enhance skills and competencies.
EXPERIENCE, QUALIFICATIONS AND KEY COMPETENCIES REQUIREDQualifications:
  1. Education: Bachelor's degree or equivalent experience preferred.
  2. Experience: Previous experience in an administrative or executive support role is highly desirable.
  3. Skills: Strong organizational, communication, and interpersonal skills; proficiency in office software (e.g., Microsoft Office Suite); and the ability to multitask effectively.
