Qualifications

  • 1-3 years of relevant experience, preferably in reception, client service, administration, or a comparable telephone-based support role
  • Clear and professional spoken and written English, with strong listening and questioning skills
  • Demonstrated accuracy in message-taking, data entry, diary management, and recordkeeping
  • Strong organizational skills and the ability to prioritize competing tasks in a fast-paced environment
  • Ability to follow call-handling scripts, escalation procedures, and authorized instructions consistently
  • Proficiency in Microsoft 365 applications, including Outlook and Teams, and the ability to learn the firm's telephone and practice management systems
  • Ability to work independently while collaborating effectively with the onshore Front of House and legal support teams
  • Professional conduct and presentation during telephone and video interactions
  • Availability to work the firm's required Australian business hours
  • Reliable internet access, suitable equipment, and a private workspace that supports confidential communications

Responsibilities

Reception

  • Answer inbound calls promptly, identify the purpose of each enquiry, assess urgency, and direct or transfer calls to the appropriate team member in accordance with firm procedures.
  • Record complete and accurate messages, including relevant contact and matter details, and send them promptly to the intended recipient.
  • Enter or update client and enquiry details accurately in the firm's practice management system in accordance with authorised procedures.
  • Escalate urgent, sensitive, or complex enquiries promptly to the appropriate onshore team member.
  • Book, confirm, and reschedule client appointments when authorised by Legal Assistants or Team Assistants.
  • Monitor Outlook calendars for scheduling or meeting-room conflicts and notify the relevant team member.
  • Send calendar invitations, confirmations, and reminders as required.

Client Service

  • Respond to enquiries from clients, prospective clients, professional contacts, and members of the public courteously, calmly, and professionally by phone or email.
  • Provide general administrative information within approved scripts and procedures, and direct substantive or legal enquiries to an authorised team member.
  • Refrain from providing legal advice, commenting on legal matters, or making commitments on behalf of the firm.
  • Maintain clear, professional, and timely communication across all interactions.

Confidentiality and Information Security

  • Protect client, matter, and firm information, and comply with all privacy, confidentiality, access-control, and information-security procedures.
  • Use only authorised systems and communication channels, and verify identity where required before discussing or releasing information.
