The Accounting Specialist provides support with delivery of accounting services. Duties involve assistance to the Immediate Superior with the supervision of the team, processing of payable vouchers and check disbursements, preparation of monthly financial reports and financial schedules, monitoring & filing of BIR returns, preparation of weekly cash position reports and monthly bank reconciliation reports. He/she is responsible for maintaining and keeping an accurate, reliable and updated book of accounts of the company handled. He/she shall be responsible for the proper and accurate recording of company transactions such as vendor invoices, monthly accrual of expenses and any other adjustments related to the closing of company books.

KEY ACCOUNTABILITY 1 -Management

  • Assist the Immediate Superior in coordinating with other team members and other departments any financial / compliance requirements of the company
  • Assist the Immediate Superior in handling various concerns and inquiries of other departments and external parties related to the disbursement process and other financial requirements.

KEY ACCOUNTABILITY 2.1 - Processing of Payments, Cash Flow and Budget Management

  • Process timely the payments of the company to its third party-suppliers of services and goods including the payment of all government agencies payables.
  • Process and monitor petty cash fund (PCF) replenishment and ensure that all petty cash vouchers (PCVs) are signed by authorized signatories.
  • Ensure that all payment processing including PCF replenishments are completed with supporting documents and endorsed for payment by authorized approvers.
  • Monitor cash balances of the company handled and prepare weekly cash flows/cash position reports before releasing checks to third party vendors.
  • Ensure that all government agencies' payable shall be paid on or before the due date to avoid penalties, which include regular payment of all applicable BIR taxes and LGU permit fees in conducting the company business.
  • Monitor, follow-up and make assist in the reconciliation of unrecognized deposits that have been outstanding for long periods of time

KEY ACCOUNTABILITY 2.2 - Budgeting and Expense Monitoring

  • Assist the Immediate Superior and CFO in the budget preparation of the company handled
  • Monitor and analyze budget expenditure of the company and make sure that expenditures are within the approved budget
  • Assist in the verification of Purchase Request (PR) by providing cash position and budget to go report for major requests to ensure purchases are within budget and covered with cash fund

KEY ACCOUNTABILITY 3 – Maintenance of Books of Accounts, Preparation of Financial Reports and Reporting Compliance

  • Maintain an up-to-date, accurate and reliable book of accounts and records.
  • Prepare monthly bank reconciliation statements and clear reconciling items and report immediately any noted discrepancies to immediate superior for action.
  • Prepare financial reports with complete supporting schedules.
  • Prepare monthly variance analysis with a brief explanation of significant variances noted.
  • Coordinate with the Accounts Receivable and Cashier in connection with the financial transactions of company handled.
  • Submit financial reports to Immediate Superior and affiliated companies and assist in the financial requirements of the management and affiliated companies as necessary.
  • Assist in the annual financial audit of the company handled by providing necessary audit requirements such as adjusted trial balance, financial statements and schedules, and supporting documents.
  • Ensure compliance with the Securities and Exchange Commission and Bureau of Internal Revenue reporting requirements on a regular basis to avoid penalties
  • Assist in the BIR and other government audit of the company by preparing all documentary requirements
  • Ensure that all accounting entries (e.g. journal vouchers, receipts, disbursements) in the books are properly reviewed and supported by complete and valid documents prior to posting/recording
  • Assist in the preparation of reports for presentation to management as necessary.

QUALIFICATIONS:

  • Graduate of BS Accountancy
  • Must have at least two (2) years experience in Financial Reporting/Bookkeeping
  • Willing to report on site at Alabang, Muntinlupa City from Monday to Friday
