LIAISE WITH: All Employees

TERM OF EMPLOYMENT: Full-Time

Duties & Responsibilities as Human Resource Officer:

  • Oversees and perform overall Human Resources related duties and responsibilities;
  • Recruitment:
    • Develop and updates job description in coordination with department heads
    • Purchasing of job posting credits and posting of job advertisement
    • Screening of received applications
    • Schedule and conduct initial interviews and pre-employment examination
    • Schedule & coordinate final interviews with department head
    • Conduct employment verification or background checking
    • Prepare job offers and contract and issue once approved
    • Checking of pre-employment requirements
    • Administering new employee orientation
    • Create, maintains and organizes employee 201 records and other necessary forms and documentations
  • Compensation and Benefits:
    • Prepares timekeeping report, payroll report and salary uploading for crediting to employees' bank accounts.
    • Prepare government-mandated benefits (SSS, HDMF, PHIC) and upload to online bank for payment preparation.
    • Responsible for recording and approving employees leave management.
    • Sourcing of providers for the company's group life insurances and HMOs.

  • Employee Relation and Coaching / Communication:
    • Responsible in monitoring and processing employees due for regulation, promotion, etc.
    • Hears out grievances, disputes, or performance management issues and participates in/facilitates employee relation procedures, provides reports, and delivers appropriate disciplinary measures.
    • Conducts exit interviews, assists in clearance completion, prepares final pays and other supporting documents
  • Company-wide activities:
    • Organizes and facilitates company-wide events from getting proposals, scheduling ocular visit, negotiations, and other preparations needed.
  • Trainings and Seminars:
    • Organize and schedule trainings, seminars, and product presentations
  • Others:
    • Creates and continuously updates company policies / procedures and conveys it to the workforce for common information.
    • Arranges Annual Physical Examination (APE) for employees and ensures its smooth execution
    • Participate in the company's annual strategic planning
    • Prepare certificate of employment (upon request) and caters to employee verification requests
    • Submit monthly withholding tax and payroll entry report to finance officer tax payment and booking preparation.
    • Monitors balances, summarizes & checks gasoline and representation receipts submitted by concerned employee for liquidation

Duties & Responsibilities as Administrative Officer:

  • Oversees and perform overall Administrative related duties and responsibilities;
  • Responsible for sourcing of office spaces for lease if the company plans to relocate. In charge with liaising with agents, scheduling of viewing, contract review and negotiation, handles / oversee renovation / fit out works from looking for contractors up until project completion.
  • In charge with preparation of all necessary requirements for application of building permit, business permit, occupancy permit, etc. (for new and renewal application).
  • Reviews, records and handles office regular maintenance (aircon cleaning, carpet cleaning, disinfection, pest control, etc.)
  • In-charge of safekeeping all corporate, relevant documents, keys and other office/site equipment, tools, laptops, etc.
  • Directs and facilitates inventory of all office equipment
  • Handles purchasing needs of the company from inventory of stocks, canvassing of items and preparation of purchase order up to delivery and safekeeping. Negotiate pricing and discounts to our suppliers
  • Arrange annual renewal of fire extinguishers
  • Directs and manages company messengers / drivers to ensure office cleanliness and orderliness, timely submissions of all deliverables and collections.
  • Prepares secretary certificate and/or board of resolution upon request.

Others:

Visa

  • Assists / arrange employees for visa requirements and other documentation needed / preparations.

Travel

  • Handles all international and local business travels of employees (from searching of flights, purchasing of flights, issuance of tickets, as well as purchasing of travel insurances and hotel booking.
  • Coordinate concerns and issues on tickets like rebooking of time and dates

Payable

  • Responsible in transferring travel allowances to all travelers and paying rent for storage in Laguna

Petty Cash & Reimbursement

  • Petty cash custodian – handles all petty cash and reimbursement requests as well as replenishment

Qualifications:

  • Candidate must possess at least a Bachelor's/College Degree in Human Resource Management, Psychology, Humanities/Social Sciences or other related courses
  • At least three (3) years of professional experience in Human Resources, Payroll, and Administration is required for this position, preferably in end-to-end HR and office and people management
  • Must be knowledgeable about procedures for recruitment and on-boarding, employee relations and engagement, training and development, compensation and benefits, labor relations, performance and data management, payroll processing, reporting and documentation, administration, job analysis and evaluation, and must be familiar with HR systems and tools
  • Should be aware of business and management principles involved in strategic and workforce planning, resource allocation, human resources modeling, and leadership and coordination
  • Should have extensive knowledge of labor laws or precedents, legal codes, court procedures, government regulations, and executive orders pertaining to employment
  • Must have a thorough understanding of human behavior, learning, motivation, and satisfaction and is capable of doing research and analysis and carrying out psychological assessments
  • Must have excellent verbal and written communication skills
  • Must be an analytical and a critical-thinker
  • Must be detailed, organized, and results-oriented
  • Should be able to work with people from different levels of the organization
  • Should be capable of multi-tasking and working under pressure
