Job Title: Operations Coordinator

Location: Remote | Must be based in the Philippines

Schedule: Monday – Friday, 8:00 AM – 5:00 PM PST

About the Role We are seeking a detail‑oriented and proactive Operations Coordinator to provide direct operational and administrative support to the Operations and Network Strategy team. This is a broad, flexible role: you will execute recurring operational processes, maintain trackers and documentation, prepare materials, and take on ad hoc projects as assigned. Success in this role means the team's leaders spend less time on execution and more time on strategy. Qualifications

  • Experience in operations coordination, administrative support, or a similar role.
  • Proficiency with Google Workspace (Sheets, Docs, Drive, Slides) and Microsoft Suite.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Experience with AI prompt support (Claude or Google Gemini).
  • Experience in healthcare, health‑tech, or community health settings.
  • Familiarity with credentialing, onboarding, or partner support workflows.
  • Experience with trackers, dashboards, and reporting.
  • Experience drafting SOPs, job aids, or workflow guides.
  • Ability to work independently with minimal supervision.
  • Comfort with video meetings (Google Meet, Slack, Zoom) and Slack messaging.
  • Ability to manage multiple concurrent tasks and meet deadlines.
  • Reliable high‑speed internet connection and a professional home office setup.

Key Responsibilities

Operational Support

  • Maintain trackers, dashboards, and internal records; keep data current, accurate, and audit‑ready.
  • Execute recurring processes on a set cadence (weekly reporting, roster and credential updates, status checks) without needing reminders.
  • Compile data from multiple systems into clean summaries for leadership review.
  • Flag discrepancies, missing information, and blockers early rather than waiting to be asked.
  • Manage referrals—primarily asynchronous via email and text, utilizing PearSuite's internally built case management and health records system. Phone will be limited to start with customers.

Documentation & Process

  • Draft, format, and maintain SOPs, job aids, workflow guides, and templates.
  • Update documentation when processes change; keep the internal knowledge base organized.

Network & Partner Support

  • Support onboarding and credentialing workflows: collecting documents, tracking completion, and following up on outstanding items.
  • Maintain contact lists, partner records, and shared folders.
  • Prepare recurring partner‑facing and internal reports.

Administrative & Project Support

  • Manage calendars, scheduling, and meeting logistics across time zones.
  • Build slide decks, spreadsheets, and one‑pagers from provided content and direction.
  • Conduct research and first‑pass drafting on assigned projects.
  • Take on other coordination duties as assigned.

The Operations Coordinator is expected to:

  • Execute assigned operational tasks accurately and on time with minimal supervision, following documented processes and established priorities.
  • Demonstrate strong computer literacy, including proficiency with Google Workspace (Sheets, Docs, Drive, Slides) , web‑based software, and the ability to quickly learn new systems.
