Description: A Pediatric therapy clinic providing occupational, speech, and developmental therapy services seeks a Patient Care Coordinator to ensure a smooth intake process, scheduling, and patient communication. Responsibilities include patient-facing coordination, therapist scheduling assistance, timesheet review, and documentation tracking.

• Maintain up-to-date therapy caseloads to ensure optimal utilization.
• Create and manage patient files in the clinic’s EMR system.
• Review intake paperwork for accuracy; confirm receipt 48 hours prior to appointments.
• Conduct intake calls with new patients and families.
• Schedule evaluations and ongoing appointments; coordinate with therapists for availability.
• Manage cancellations per policy and reduce missed visits.
• Maintain and manage the clinic waitlist; communicate with families.
• Manage email communications with clients professionally and promptly.
• Review therapist timesheets for payroll purposes; track weekly hours.
• Assist with documentation review to ensure compliance and accuracy.
• Support coordination across therapists and admin staff for smooth workflow.
• Update email lists for client communication.

• Experience as Patient Care Coordinator, Medical Office Assistant, or Administrative Assistant in healthcare (pediatrics preferred).
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication with a compassionate tone.
• Experience using EMR systems (Practice Pro).
• Proficiency in Office 365 and digital scheduling/tracking tools.
• Ability to manage multiple responsibilities with accuracy and professionalism.
