Senior Proposal Coordinator

Role description: To become part of the Pursuit and Sales Enablement Team (PSET), coordinating and managing proposals for all parts of the Arcadis business. Role accountabilities: Assist the Team Leader in training Proposal Coordinators, providing guidance on the Arcadis Way of Client Development and liaising with section managers on required trainings. Manage the team's workload by assigning requests to Proposal Coordinators and ensure timely submission of deliverables by monitoring work progress and adjusting resources or timeshifts as necessary. Review and evaluate proposal documents including technical and financial aspects, providing guidance on any risks identified. Work collaboratively with Regional Pursuit Teams and Bid Managers to prepare proposal plans that meet client objectives and determine key win themes/messages throughout the proposal. Manage proposals according to the Arcadis Way of Proposal Management to ensure a high level of service. Respond to EOIs, RFQs, and other proposal-related requests, ensuring compliance with requirements. Coordinate support from other departments (marketing, HR, finance, technical) as needed. Assist in creating and updating client-specific capability statements and presentations. Gather feedback from proposals for lessons learned to improve future proposals. Provide weekly summaries of team activities to section managers, including active proposals and resource distribution. Collaborate with colleagues across Arcadis globally. Coordinate the pursuit process from kick-off to proposal submission, including editing, formatting, proofreading, and electronic delivery. Facilitate gateway proposal meetings and other bid-related meetings, chasing actions as required. Create proposal templates when the Centralized Bid Team lacks capacity. Support client development across sectors and countries. Contribute to continuous process improvement of the Manila Shared Services Team. Perform other related tasks as needed. Qualifications & Experience: Proficiency in MS Office; knowledge of Adobe Creative Suite (InDesign, Photoshop) is an advantage. Minimum five years of experience in proposal coordination, scheduling, editing, or related fields. Supervisory experience is advantageous. Bachelor’s Degree in Marketing, English, Business Administration, Engineering, or related fields. Excellent English communication skills, strong computer skills, especially in Word, PowerPoint, and InDesign. Experience with Adobe Acrobat. Outstanding organizational and logistical skills. Ability to work under tight deadlines and respond to last-minute requests. Ability to work independently with initiative and dedication. Why Arcadis?
