Job Title: Health Information Management (HIM) Virtual Assistant Hourly Rate: $6.25/hr (all-in) Start Date: ASAP Job type: Full Time ONLY ACCEPTING APPLICANTS IN THE PHILIPPINES Position Overview: The Health Information Management (HIM) Virtual Assistant supports the integrity, accuracy, and compliance of clinical documentation and coding processes within the organization. This position requires a registered nurse with active ICD-10 coding certification who will assist with coding and data abstraction, queue physician orders in the Electronic Medical Record (EMR) system, and coordinate documentation for external audits, including Additional Documentation Requests (ADR) and Recovery Audit Contractor (RAC) reviews. The HIM Virtual Assistant serves as a critical link between clinical, administrative, and compliance functions to ensure proper documentation, coding accuracy, and adherence to regulatory requirements. Job Responsibilities: Clinical Documentation & Coding Accurately assign ICD-10 diagnosis codes and verify clinical documentation to ensure coding accuracy and compliance with payer and federal guidelines. Review and audit physician and nursing documentation for completeness and consistency. Query providers for clarification or additional documentation when necessary. Maintain current knowledge of coding and documentation standards, regulatory updates, and payer policies. EMR Management & Physician Order Processing Queue and process physician orders accurately in the EMR system. Ensure timely order entry and resolve discrepancies in physician documentation. Collaborate with nursing and medical staff to maintain data integrity and completeness within the patient record. Audit Support (ADR/RAC) Assist with the preparation and submission of medical records and supporting documentation for ADR, RAC, and other external audits. Track and monitor audit requests, responses, and outcomes. Compliance & Quality Assurance Ensure compliance with HIPAA, CMS, and organizational policies related to health information management. Participate in internal audits and quality improvement initiatives related to documentation and coding. Maintain confidentiality and uphold data security protocols at all times. Qualifications: Education & Licensure: Active and unencumbered nursing license in the country of residence (RN required). Certified Professional Coder (CPC), Certified Coding Specialist (CCS), or equivalent ICD-10 coding certification required. Experience: Minimum of 2 years of experience in medical coding, health information management, or clinical documentation improvement. Experience with EMR systems and electronic order processing required. Prior involvement in ADR/RAC audit response or medical record requests preferred. Skills & Competencies Strong understanding of ICD-10 coding conventions Proficiency in EMR navigation, data entry, and record retrieval. Excellent attention to detail, organizational, and analytical skills. Strong written and verbal communication abilities. Ability to work collaboratively across clinical, administrative, and compliance teams.
