Creative Operations Executive (Agency Traffic Manager)
Studios run on traffic: someone takes the brief in, schedules the work, keeps the hours honest and checks the output before it goes back to the client. That's this role.
We're looking for a Creative Operations Executive to join our marketing strategy and creative agency. This is a traffic management role for a team of 5+ creatives across video, motion, graphic, social, web and digital. Hands-on design experience is a hard requirement, because you'll be scoping, reviewing and giving feedback on creative work every day.

Please note: we're only progressing candidates who have worked on the tools and run creative projects end to end – both are required.
If your background is coordination, scheduling or project management without on the tools design experience, this isn't the right fit. Same goes if you're a designer looking for a design role. You'll be managing the work, not making it.

Fully remote, based in the Philippines
40-hour week: online 9:00am–6:00pm Sydney time, with breaks
Salary: PHP 70,000–80,000 per month, based on experience

WHAT YOU'LL DO
Traffic and Quality
Review every brief before it's assigned, and send back anything missing the references, context or clear ask the team needs
Build and maintain job schedules, assign work across the team based on capacity and priority, and adjust as deadlines move
Run daily stand-ups and weekly WIPs so everyone knows what's due, what's blocked and what's next
Scope hours realistically at briefing and hold estimates to account during the job, ensuring client value and billable hours are always in focus
Run internal review rounds before work goes to a client, and give designers clear, specific feedback and coaching against the brief and the brand
Translate client feedback into creative direction, and creative constraints into language Client Success can take back to the client
Reporting and Process
Make sure the team's timesheets in Productive are accurate and current, and track billable and non-billable hours across client retainers from Productive and Monday.com reports
Identify recurring causes of rework (thin briefs, unclear feedback loops, scope creep) and elevate patterns to leadership
Review and manage other non-billable hours across the agency to maximise available billable hours and maintain a focus on agency growth and profitability
Work with the Operations team and Creative Services Director on new reports and systems
Use Claude and similar AI tools to speed up reports, summaries and briefing documents
You run the day-to-day work of the team. People, performance and HR matters go to the Creative Services Director and HR.
WHAT WE'RE LOOKING FOR
Hands-On Design Experience (Required)
Time on the tools as a designer, editor or motion designer, ideally within the last two to five years, across the Adobe suite, Figma, Canva and video editing tools. You can review a piece of work and explain specifically whats wrong and how to fix it.
Traffic and Project Management (Required)
3+ years in an agency in a traffic, studio, production or project management role, managing creative workflows across multiple concurrent projects. You've briefed work, scheduled resources and delivered to client deadlines. Experience with Australian or other international clients or agencies is a strong advantage.
Resource and Budget Management (Required)
Comfortable managing hours and workload across both Creative and Client Success, and clear on the difference between a client's budget and deadline and the agency's. You've run a team's day-to-day workload, not just your own. You can push back on a designer's estimate and a CS request with the same clarity.
Clear and respectful communication: you will need to be capable of direct feedback and pushing back without damaging relationships
Highly organised across multiple jobs, deadlines and priorities at once

Technically aware: understands what a job involves so scoping is accurate and fair
Takes ownership, doesn't need close supervision
