Key Responsibilities of the Bookkeeper

Your responsibilities include:

  • Accounts Payable
  • Vendor Setup & Compliance
    • Set up new vendors in the accounting system as needed
    • Collect and manage W-9 forms to ensure compliance
    • Reconcile vendor statements to verify account balances
    • Safeguard confidential company and vendor information at all times
  • Invoice Processing
    • Review all invoices for proper documentation and approval prior to payment
    • Perform 3-way matching of invoice, purchase order, and packing slip (receiver) to confirm accuracy in quantity and cost
    • Ensure proper GL coding and enter invoices into the system for payment
    • Resolve discrepancies between purchase orders, invoices, and payments, documenting resolutions appropriately
    • Confirm credits are applied for any outstanding memos
  • Payments & Scheduling
    • Maintain an accurate invoice payment schedule by recording due dates
    • Track and manage all billings and payments to ensure accuracy and timeliness
  • Communication & Support
    • Collaborate with internal teams and management to support purchase-related processes
      • Note: Direct vendor communication is handled by the Finance Manager.
  • Accounts Receivable
    • Payment Application & Deductions
      • Accurately apply check, wire, and ACH payments to corresponding invoices
      • Verify deductions, confirm proper coding, and enter credit memos as required
      • Retrieve remittance advice from online portals when necessary (primarily ACH notifications)
    • Reconciliation & Record-Keeping
      • Perform regular account reconciliations to ensure accuracy
      • Maintain organized and up-to-date accounts receivable records
      • Investigate and resolve discrepancies, escalating issues when necessary
      • Record and reconcile online sales and bank deposits.
    • Monitoring & Reporting
      • Review Accounts Receivable aging weekly, ensuring balances over 90 days remain below 5% of total AR
      • Monitor unapplied payments weekly, ensuring no items remain unresolved for more than two weeks
      • Prepare and send customer account statements as needed
