Position Overview Automotive Parts Administrator supports automotive dealership clients, focusing on efficient and accurate administration of parts operations. Responsibilities include parts ordering, inventory record management, documentation, and reconciliation to support dealership profitability. Key Responsibilities Assist dealership parts departments with processing, tracking, and expediting parts orders from various suppliers and manufacturers. Monitor order statuses, follow up on back-ordered parts, and coordinate delivery schedules to ensure timely parts availability. Communicate with suppliers regarding discrepancies, returns, and credits. Accurately update and reconcile parts inventory records within the dealership’s DMS and other inventory tracking systems. Identify inventory discrepancies, perform adjustments, and support periodic cycle counts or audits remotely. Ensure proper coding and categorization of parts within the system. Maintain comprehensive electronic and physical records of all parts transactions. Verify accuracy of parts information, pricing, and quantities in documentation. Provide administrative support for parts invoicing processes, ensuring correct billing and coding. Assist in reconciling parts statements from suppliers against received goods and payments, resolving discrepancies. Track and process vendor credits and RMAs. Serve as a liaison, communicating with dealership service advisors, technicians, parts managers, and external vendors regarding parts availability and order status. Support parts inquiries from internal teams and dealership personnel. Process parts returns to manufacturers or suppliers, ensuring proper documentation and credit processing. Track and manage core charges, ensuring timely returns for credit. Generate basic reports on parts inventory levels, turnover, aging, order status, or part requests to support dealership insights. Assist in analyzing parts data to identify trends or potential areas for operational improvement. Skills & Qualifications Required Minimum 2‑3 years of administrative experience, including 1‑2 years in an automotive parts department or BPO role supporting automotive parts operations. Foundational automotive parts knowledge, terminology, and dealership operations. Exceptional attention to detail in data entry, record keeping, and reconciling parts information. Proficiency with Dealer Management Systems (e.g., Reynolds & Reynolds, CDK Global) and Microsoft Office, especially Excel. Good verbal and written communication skills. Strong organizational skills, ability to manage multiple tasks and prioritize. Problem‑solving ability to resolve discrepancies or issues related to parts orders, inventory, or documentation. Preferred Experience with advanced inventory management principles. Familiarity with various automotive brands’ parts systems. Amenities Willing to work full onsite in Alabang, Muntinlupa. Available for a fixed weekday night shift from 8:00 PM to 5:00 AM (shifting schedule), with weekends off.
