Position SummaryThe Payroll Coordinator plays a crucial role within the Finance Shared Services team by ensuring the accurate, timely, and confidential processing of payroll for all employees. This includes expatriates on split pay and consultants in local offices. The role involves collecting data, calculating employee compensation and deductions, remitting payroll taxes, and preparing payroll registers. The Payroll Coordinator will maintain meticulous records, audit data, and collaborate with HR and Benefits departments to address inquiries and resolve issues.
The successful candidate must possess exceptional communication skills, both written and oral, be able to anticipate issues and work towards their resolution, be conscientious, and effectively multi-task in a high-paced environment.
Our Functional AreaThe Global Finance team is led by the Firm’s CFO and is made up of approximately 280 team members around the world. We are committed to our growth strategy for profitable growth, with core functions including billing and collecting Firm invoices, statutory accounting for the Firm and for individual offices, creating and distributing management reports, processing payments to vendors or reimbursements to employees, and managing payroll for our people. We work across our network of offices and countries, and value collaboration across geographic and practice boundaries. Our lawyers and staff are global, collaborative, and focused on excellence. Our team’s remit includes partner compensation, maintenance of partner equity accounts, procurement of vendor services, global tax strategies, inventory management, and analysis of profitability. We work with partners and with other business services groups to establish hourly billing rates and client-specific fee arrangements. Our Treasury team is responsible for global cash management, foreign currencies and hedging. In consultation with Firm leaders, we set annual global revenue and expense budgets across regional sections and offices, and continuously review expenditures to ensure resources are used efficiently.
Duties and Accountabilities- Process payroll for employees, including expatriates on split pay and consultants in local offices.
- Review overtime schedules prepared by the team and upload to the database.
- Calculate pro-rated salary for new hires, terminations, and employees on leave.
- Maintain files for employee banking, tax forms, and payroll backup information.
- Audit data changes in payroll output reports, research system errors, and make corrections as needed in the payroll database.
- Review payroll status reports, including scheduled and retroactive payroll deductions, and communicate with HR and Benefits departments as required.
- Respond to payroll inquiries from office administrators and other department managers.
- Prepare the payroll funding schedule for Treasury and distribute payroll reports to Accounting.
