We are seeking a detail-oriented and organized Administrator to join our team. In this role, you will oversee the end-to-end mobilization process, ensuring all compliance requirements are met and candidate documentation is accurately maintained. You will also assist with payroll and timesheet processing as part of your administrative responsibilities. This role requires close collaboration with internal teams, external vendors, and clients to support induction, compliance, onboarding, and administrative activities for new hires.

Duties and Responsibilities (but not limited to):

1. Compliance and Documentation:

- Collect and manage candidate documents, ensuring compliance with ISO standards.

- Conduct work rights and visa checks using appropriate tools and websites.

- Ensure proper naming conventions and document storage for efficient retrieval.

- Maintain and organize candidate files for audits and compliance.

2. Medicals and Inductions:

- Book medical appointments (LabDAS, PEM approvals).

- Facilitate and approve inductions for client-specific programs.

- Submit induction documentation to the client as required.

3. Administration Support:

- Order Personal Protective Equipment (PPE) and process purchase orders.

- Prepare and distribute clients' contact cards.

- Send required documentation to stakeholders and ensure they are filed appropriately.

- Perform resume formatting and tidying to meet professional standards.

4. Technology and Reporting:

- Utilize software such as JobAdder, Xero, Ingenium, Adobe Acrobat, and I Love PDF to manage tasks.

- Perform Department of Transport license checks.

- Communicate via Teams and 3CX to coordinate with internal and external stakeholders.

- Create and maintain spreadsheets in Word and Excel for reporting purposes.

5. Payroll and Timesheet Processing:

- Assist with timesheet collection, verification, and data entry.

- Ensure accurate payroll documentation and timely submission for processing.

- Address timesheet or payroll discrepancies in collaboration with the payroll team.

Key Skills and Qualifications:

- Proven experience in administration, compliance, mobilization, or payroll support roles.

- Proficiency in using software tools, including JobAdder, Xero, Adobe Acrobat, and Microsoft Office Suite.

- Strong organizational skills with an ability to manage multiple tasks and deadlines.

- Exceptional attention to detail, particularly in document management and compliance.

- Effective communication skills, both written and verbal.

- Ability to work independently and collaboratively in a fast-paced environment.

Qualifications:

- Must have at least 1 year of International Recruitment experience.

- Experience in Mobilization Support handling Australian Client is an advantage

- At least 1 year of CSR experience handling Australian account

- Strong communication skills

- Detail-oriented with exceptional organizational skills.

- Able to multitask, with high attention to detail

- Ability to work effectively in a team and individually.

- Proficiency in using relevant recruitment software and systems.
