The company is focused on the solar energy industry, rapid growth, and operational efficiency across all interconnected entities. With several growing teams and companies under his belt, he’s looking for a highly organized Executive Assistant who can bring structure, focus, and calm to the chaos of a busy schedule. About The Role As the Executive Assistant, you will be the key operational backbone, ensuring a seamless and efficient workflow that directly impacts productivity and business engagement. Your mission is to serve as the ultimate organizational gatekeeper, managing complex inboxes, maintaining critical business priorities, and ensuring the sales team have the tools they need to succeed through dedicated CRM management. This crucial role also extends to providing comprehensive personal support, allowing the executive to focus on high-level strategic goals. Responsibilities Executive & Administrative Support: Manage multiple email inboxes — flagging priorities, drafting and sending responses, and ensuring nothing slips through the cracks. Track and process expenses (e.g., receipts, corporate credit cards) and assist in the preparation of necessary documentation for tax and financial reporting. Own the calendar and scheduling — coordinating internal and external meetings across time zones, proactively resolving conflicts, and ensuring efficient use of time. Keep the executive on track by organizing tasks, setting reminders, and following up on commitments. Create and maintain digital organization systems (folders, trackers, task lists, etc.) for easy access to key information. Business Operations & CRM Management: Maintain and clean up the CRM to ensure accurate and actionable sales data. Support the sales and call center teams by monitoring task completion, ensuring follow‑ups, and keeping communication streamlined. Assist with light data tracking, reporting, and spreadsheet management (bonus if you’re comfortable with Excel or Google Sheets). Personal Assistance: Handle personal errands such as online shopping, scheduling personal appointments, or researching meeting venues. Coordinate travel arrangements and manage logistics when needed. Send reminders and help the executive balance both professional and personal commitments. Competencies And Qualifications Must‑Have: At least 3-5 years of experience as an Executive Assistant, Personal Assistant, or Operations VA supporting senior leadership or entrepreneurs. Demonstrated expertise in managing and maintaining a CRM platform (e.g., Salesforce, HubSpot, Zoho), including data entry, cleanup, reporting, and pipeline management. Proficient in managing and prioritizing high‑volume, complex email inboxes, utilizing advanced organization techniques (folders, rules, delegation) to ensure zero missed communications. Advanced proficiency with standard business software (e.g., Microsoft Office Suite, Google Workspace), digital scheduling tools and communication tools (e.g. WhatsApp) Proven experience with scheduling, travel coordination, expense reporting, and managing personal administrative tasks/errands.
