Executive Assistant

We are looking for a highly organized and detail-oriented Executive Assistant with project management experience to support the client's US-based leadership team and coordinate with their global accounting staff. This role will be the central point of contact for managing shared inboxes, routing client requests, and ensuring seamless communication between clients, our internal team, and outsourced staff. The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced environment where accuracy and follow-through are essential. Responsibilities Manage shared client inboxes (email and Slack), route incoming requests to the correct team members, and follow through to ensure timely responses Maintain and update Google Sheets based on client requests and internal work Support US-based founders while coordinating daily with our Philippines-based bookkeeping and accounting team Monitor workflows in Karbon (project management tool) and suggest improvements in collaboration with our Head of Operations Report on issues, inefficiencies, or opportunities to improve workflows Provide occasional client-facing communication via email and Slack (no video calls required) Maintain accuracy across calendars, project management tools, and reporting sheets Explore opportunities for automation (Zapier, workflow tools) to improve efficiency Qualifications 3–5+ years of experience as an Executive/Virtual Assistant, Project Manager, or similar role Prior experience with project management tools is a plus (Asana, Trello, Monday.com, or similar) Experience with Karbon is a major plus Strong skills in Google Workspace (Sheets, Calendar, Drive) and Slack Basic knowledge of bookkeeping and accounting workflows preferred Comfortable working with Excel/Google Sheets at an intermediate level (data entry, formulas, reporting) Detail-oriented, proactive, adaptable, and a strong communicator Ability to manage competing priorities and anticipate potential pitfalls Not afraid to speak up with suggestions for process improvement Excellent communication and writing skills Must be willing to work on US hours System Requirements Computer Processor: Intel 8th generation or newer/AMD Ryzen 2000 series or newer Memory/RAM: 16 GB Computer OS: Windows 11 and future enterprise operating systems Storage: 500 GB SSD Primary Internet Connection: must be running on a 20+ Mbps wired plan (at least 5 Mbps for backup connection) Microsoft Office License Please send a copy of your CV in PDF format. #J-18808-Ljbffr
