Job Summary:
Behind every thriving women's training program is a steady organizer, and an organized, proactive Membership Operations Coordinator will fill that role for the program's owner. You will keep member activity on track, follow up with members who have gone quiet, draft the weekly newsletter and group emails, and help the owner stay on top of schedules and deadlines. A strong written communicator who takes initiative and keeps things running smoothly behind the scenes is the ideal fit.
Key Responsibilities:
- Track member activity and check-ins in Everfit
- Email members who have not checked in to follow up
- Manage member movement between quarterly programs
- Keep member records accurate and up to date across Kajabi and Everfit
- Draft the weekly newsletter for the owner to review
- Write and send group emails to members
- Monitor email communication with the member community
- Send the owner reminders about schedules, deadlines, and upcoming tasks
- Flag member trends and issues the owner should know about
- Maintain simple tracking systems that keep the membership organized
Mandatory Skills:
- Excellent written English with a warm, professional tone
- Experience with email-based communication and member or client follow-up
- Proficiency with Kajabi or similar membership and website platforms
- Ability to learn and use Everfit or similar fitness and coaching apps
- Strong organizational and time management skills
- Steady-handed, scrupulous, and productive in a remote, self-directed setup
- Strong communication skills
Preferred Skills:
- Experience in membership, community, or customer success roles
- Experience writing newsletters or email campaigns
- Familiarity with email marketing tools
- Background or interest in fitness, wellness, or women's health programs
- Experience supporting a business owner or coach as a virtual assistant
- Skilled at balancing competing priorities across several projects without missing a deadline
