JOB DUTIES AND RESPONSIBILITIES
Position: RECEPTIONIST/SALES ADMIN
I. OVERVIEW, ROLES & RESPONSIBILITIES, REQUIREMENTS
Ideally, this position reports directly to the Marketing Graphics & Tech Officer, Marketing Head and VP for Corporate Services of the Company and will be working closely with other Marketing Team Members, Logistics Teams, and Branch Teams. Furthermore, this position is expected to observe the policies and procedures, security measures and work guidelines, as well as lawful directions given by TSI’s management and persons in authority.
Roles & Responsibilities:
Assistance for production of in-house print collaterals
Printing
Cutting / Assembling / Folding
Lamination if needed
Counting, Packing, & Labelling for delivery
Ensure proper count of collaterals per branch
Secure packaging of collaterals with proper labels
Inventory & requesting for replenishment of printing materials, such as: Specialty Papers, Ink, Laminating film, etc.
Pick-up / claiming Print Collaterals from Suppliers
Collaterals include:
Regular Activities:
WOTM
Wine Tags
Pairing Tags
POTM Price Tags
Menu Inserts with Lamination
Table Display Price Lists
Depending on promotions and activities
GCs
Wine Box Cards
Other price tags or labels for displays
Other Projects / Ad Hoc:
Signages
Label Reprinting
Gift Cards for Institutional Teams
Other tasks that may be given
Check that all prices and client contracts are up to date.
Support the sales force with the general operations to help reach the team’s objectives.
Take phone call from clients and prospective customers.
Communicate to the management of important feedback from customers/clients
Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
Answering screening and forwarding incoming phone calls
Receiving and sorting daily mail
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
Perform other task as maybe assigned from time to time by the superior and by management.

II. MANAGEMENT EXPECTATIONS
Beyond the basic skills and role responsibilities described in Part I, it is crucial for the Receptionist and Production Assistant to understand the company’s expectation for this role.
Develop best practices to enhance operational performance and productivity.
Report to work as scheduled and seek approval from superior in advance for any changes to the established work schedule, including the use of leave and late or early departures.
Perform assigned duties and responsibilities with the highest degree of public trust.
Devote full effort to job responsibilities during work hours.
Support efforts that ensure a safe and healthy work environment.
Utilize leave and related employee benefits in the manner for which they were intended.
Meet or exceed established job performance expectations.
Report circumstances or concerns that may affect satisfactory work performance to management, including any inappropriate (fraudulent, illegal, unethical) activities of other employees.
