Responsibilities

Apply Consortium Project Document Control Procedure and implement it within the Consortium. Ensure the accuracy, quality, and integrity of documents' attributes and metadata being registered and implemented. Initiate internal review workflow in project EDMS. Make sure internal validation of documents is done before submittal to Engineer/Employer. Ensure that the documents/correspondence are verified with the authorized signature prior to submitting to the Engineer/Employer; Manage all Consortium documentation and ensure that will delivery on time to the Engineer/Employer. Proper follow-up, monitoring, and logging of incoming/outgoing requests and related review process. Assign, control and manage the sequential reference numbers for all correspondence and technical documents; Ensuring that all members of the project team understand and follow the Project Document Control Procedure (internal/external); Prepare and update the document distribution list to ensure that all documents are reviewed by designated personnel; Ensure that all document registers are updated in daily basis; Ensure that the document records are easily accessible, and they can be quickly and accurately retrieved; and Upload/publish all official document submission in project EDMS; Scan and print documents as required. Formatting documents as required. Monitor input data to be reported into weekly report about progress of deliverable list and approval status Be accountable for the definition and management of documents storage during Project life and documents archiving at the end of the Project (hardcopy) Contribute to the return of experience (REX) and improvements, share of best practices.
