Job Summary: Join our innovative team in the IT industry, where you'll take on a role as a Project Coordinator. As a Project Coordinator, you'll be instrumental in supporting project managers and teams to ensure the successful execution of IT projects. This hybrid position working on the day shift offers a dynamic opportunity to contribute to the success of our Australian-based company.

Key Responsibilities:

  1. Project Coordination:
    • Collaborate with stakeholders to define project requirements, objectives, and scope.
    • Establish project structures, workflows, and allocate resources effectively.
    • Track project tasks, milestones, and deliverables using project management tools.
    • Monitor project progress, identify risks, and escalate issues for resolution.
    • Ensure timely completion of tasks within budget constraints.
  2. Timesheet Management:
    • Collect, review, and manage timesheets for accuracy and compliance with policies.
    • Provide training and support to employees on timesheet submission procedures.
    • Generate reports and analysis on work hours, overtime, and attendance.
  3. Invoicing:
    • Generate and review invoices, ensuring accuracy and compliance with contractual agreements.
    • Coordinate with relevant teams to gather necessary information for invoicing.
    • Monitor invoice aging, follow up on outstanding invoices for timely payment.
    • Resolve billing inquiries and disputes, maintain billing records and documentation.
  4. Reporting and Communication:
    • Collaborate with stakeholders to gather project data and insights for forecasting.
    • Provide regular updates, progress reports, and status dashboards to stakeholders.
    • Facilitate communication between project teams, stakeholders, and cross-functional departments.
  5. Quality Assurance and Documentation:
    • Ensure compliance with project standards, methodologies, and best practices.
    • Review project deliverables for accuracy and completeness.
    • Maintain project documentation, lessons learned, and post-project reports.

Qualifications:

  • Proven experience in project coordination, resource management, or operations within the IT industry.
  • Strong understanding of project lifecycle and resource planning methodologies.
  • Degree in Business Administration, Information Technology, or related field.
  • Proficiency in project management tools such as ServiceNow, OpenAir, or Salesforce PSA.
  • Excellent analytical, problem-solving, and decision-making skills.
  • Ability to prioritize tasks, manage multiple projects, and work effectively under pressure.
  • Outstanding communication and interpersonal skills for effective collaboration.
  • Lean Six Sigma Yellow Belt certification preferred.
