FUNCTIONAL ASSISTANT FOR SUPPLY CHAIN (Purchasing & Plant Logistics)

Job Summary: 

The Functional Assistant will play a key role in providing administrative and executive secretarial assistance to our Supply Chain Head in managing Purchasing and Plant Logistics Functions . She will be responsible for performing administrative tasks, data management, and coordination, ensuring the smooth flow of supply Chain operations. She will also be tasked to prepare the Agenda for Meetings, scheduling, hosting and taking down of the Minutes of Meetings and follow up on actions taken by responsible persons as committed during the meetings. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities:

Assist the Supply Chain Head in the conduct of Weekly Functional Meetings by taking of the Minutes of the Meeting, preparing the Agenda, and coordination with all members on the submission of reports for the meeting.Assist in the coordination of supply chain activities, including purchasing, inventory management, order processing, and plant logistics.Support the Purchasing department with vendor management, purchase orders, and contract administration.Provide administrative support for Plant Logistics, including scheduling, documentation, communication and coordination between Makati Office and the plants .Maintain accurate records of supply chain, purchasing, and logistics activities.Assist in data entry, analysis, and reporting to support decision-making.Coordinate with internal teams and external partners to ensure timely and efficient operations.Monitor and track shipments, deliveries, and inventory levels.Help with the preparation of presentations, reports, and other documents as needed.

Qualifications:

Bachelor’s degree in Business Administration, or a related field, gained from reputable colleges and universities.With at least 20 years of working experience as Executive  Assistant or Executive Secretary to the top position in Supply Chain from reputable manufacturing companies, preferably in the construction-related industry.Strong organizational skills and attention to detail.Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).Excellent communication and interpersonal skills.Ability to multitask and prioritize in a fast-paced environment.Familiarity with ERP systems and supply chain software is a plus.Problem-solving skills and a proactive approach to tasks.Willing to work in Makati
