We are seeking a detail-oriented and organized individual to join our travel agency as a Documentations Assistant. The successful candidate will be responsible for assisting the travel agents with the preparation and completion of travel documentation, ensuring all necessary paperwork is in order for our clients' trips.


Key Responsibilities:

  • Assist travel agents with the preparation of travel documentation, such as flight itineraries, hotel reservations, car rental agreements, and tour vouchers.
  • Ensure that all travel documents are complete, accurate, and comply with relevant laws and regulations.
  • Verify clients' travel details, such as names, dates, and destinations, and make necessary corrections or changes as required.
  • Follow up with clients to obtain missing information or signatures on travel documents.
  • Monitor travel documents for expiration dates and renewals, such as passports, visas, and travel insurance.
  • Maintain accurate and organized client files, both in hard copy and electronic format.
  • Provide administrative support to the travel agents as needed, including answering phones, responding to emails, and scheduling appointments.


    Qualifications:

    • Associate or bachelor's degree in a related field preferred.
    • Proven experience as an administrative assistant or in a related role, with strong organizational and data entry skills.
    • Familiarity with travel documentation, such as flight itineraries, hotel reservations, and car rental agreements.
    • Proficient in Microsoft Office
    • Excellent communication and interpersonal skills, with the ability to work well in a team environment.
    • Ability to prioritize tasks, meet deadlines, and work independently with minimal supervision.
    • Attention to detail and accuracy are critical for success in this role.
